This notice explains what personal information Soul Synthesis collects, why, who helps us process it, how long we keep it, and the rights you have over it.

Who we are

Soul Synthesis is a trading name of a sole trader based in the United Kingdom, and is the data controller for the information described here.

What we collect, and why

To create your portrait we collect your full birth name, email address, birth date, birth time, birth place, and your answers to the 44 statements. We collect them because the portrait is calculated and written from them; without them the product cannot be made.

Your answers to the statements, and the psychological reading drawn from them, are treated as sensitive information. We process them because doing so is necessary to create the portrait you've bought, and we use them only for that.

If you arrive from an advert, we also record which advert (standard campaign tags). Payments are processed by Stripe; we never see your full card details.

The legal bases we rely on

Contract: creating and delivering the portrait you bought, including the questionnaire and the psychological interpretation drawn from it, and responding when you contact us.

Consent: analytics and advertising measurement (see below), which only run if you say yes. You can withdraw consent at any time.

Legal obligation: keeping payment records for UK tax purposes.

Legitimate interests: preventing fraud and abuse of the checkout and delivery systems.

Analytics and advertising measurement

Nothing non-essential loads unless you allow it. If you do, we use PostHog (hosted in the EU) to understand how the site is used, and Meta's Pixel to measure whether our adverts work. If you choose "Essential only", neither loads and the site works exactly the same.

Who helps us process your information

We use a small number of service providers: Vercel (website hosting), Stripe (payments), Resend (email delivery), PostHog (analytics, EU-hosted, only with your consent), Meta (advertising measurement, only with your consent), Komoot Photon (the birth-place search box), Google Fonts (typefaces), and Anthropic (AI assistance while drafting your portrait, as described on the homepage). Some of these providers are outside the UK; where they are, transfers rely on their standard contractual safeguards.

Your birth details and questionnaire answers are encrypted before they are attached to your payment record, so our payment processor cannot read them.

How long we keep things

Source inputs (your birth details and questionnaire answers) are kept for 90 days after your portrait is delivered, then deleted. Our copy of your completed portrait is kept for 12 months so we can honour the refund promise and re-send it if you lose it, then deleted. Payment records are kept for six years, as UK tax law requires. If you start checkout but do not pay, your details are not captured by us at all.

Your rights

You can ask for a copy of your information, ask us to correct it, delete it, restrict how we use it, object to our use of it, or ask for it in a portable format. You can withdraw consent at any time. To do any of these, email hello@soulsynthesis.co or reply to any email from us.

If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Data deletion

Request deletion at any time by replying to any email from us with the word "delete", or by emailing hello@soulsynthesis.co. We will remove your personal data and source inputs from our systems, including the private web copy of your portrait, and confirm when it is done. Your delivered portrait (the PDF in your inbox) remains yours to keep.

What we do not do

We do not sell your data. We do not use your birth details or questionnaire answers for advertising. We do not use your data for marketing unrelated to your portrait.
